PHONE ANSWERING
A Tucson customer with a problem calls three businesses. The one that gets them on the calendar during that call usually keeps them.
A Tucson customer whose water heater failed this morning is not shopping. They are calling down a list until somebody gives them a time.
Harvard Business Review audited 2,241 US companies and found that the ones making contact within an hour were nearly 7 times more likely to qualify the lead. On a service call the window is shorter than that, and it closes while your phone rings.
THE MATH
Think about what the caller is doing between dials. They have a problem, three tabs open, and no loyalty yet. The first business that turns the call into a time on a calendar ends the search. Everyone who calls back that afternoon is calling a customer who already committed.
This is why a returned call is worth so much less than an answered one. BIA/Kelsey found inbound phone calls convert 10 to 15 times more often than web leads, and that advantage belongs to whoever picks up.
More than most owners expect. Our Tucson team can hold a slot, confirm an appointment, reschedule one, and send you the details before the caller hangs up. Scheduling runs as an add-on at $125 a month, or $149 for medical practices with intake requirements.
Technology handles the routing, the call recording, and writing the appointment into your system. A person handles the part where the customer explains what is actually wrong.
THE REAL COST
You cannot be under a sink and on the phone at the same time. Owners solve this by calling back at 6 pm, which is also when the customer is making dinner and no longer answering.
A widely quoted study of small business call handling found roughly 62% of calls went unanswered. The work itself is what causes most of those misses, so hiring harder does not solve it.
Plenty of people still want to talk to somebody before they hand over a house key or a deposit. Older customers, high value jobs, and anything urgent all skew heavily to the phone, and an online form does nothing for them.
Keep the form for the people who like it. Put a live person behind the number for everyone else, and you stop choosing between the two.
ON THE GROUND
Monsoon season is when Tucson scheduling breaks. A single storm generates a week of calls, and the owner triaging them from a truck cab cannot hold a calendar and a conversation at the same time.
That is the week a receptionist earns the fee. Our Tucson team at 3430 E Sunrise Drive can hold slots, confirm appointments and push the overflow into next week while you are still on a roof. Snowbird season creates the same squeeze in reverse, with a shorter window to get somebody scheduled before they leave town.

Our receptionists work out of 3430 E Sunrise Drive, Suite 180 at Sunrise Corporate Center in the foothills. They answer your business calls from 8 to 5, screen out the sales pitches, and work in parallel so two customers calling the same minute both reach a person. After-hours coverage is available as a paid add-on. Calls under 5 seconds are not charged.
Technology handles the routing, the recording and the scheduling. A person finishes the conversation, and you can come to the office and meet them.
